Exporting records from CINAHL or other EBSCOhost Databases to RefWorks

Intended Audience:

This short tutorial is intended for UNMC students, faculty and employees who have previously created a RefWorks account and want to learn to:

a) import records from the EBSCOhost databases - CINAHL, PsycINFO, or Health Business and

b) edit the created RefWorks records.

Navigating this tutorial:

1. Use the Arrow icons below the instruction screen to go forward and backward in the tutorial. 

2. Use the "Contents" button above the instruction screen when you want to skip between distant parts of the tutorial

3.  Click the printer icon if you'd like  a transcript of the entire tutorial.

Resize window

RefWorks doesn't work well when enclosed in a frame so:

1.  Please, resize this browser window until only the instruction panel is visible. 

(You can do this by grabbing the lower right-hand corner of your browser and pulling it toward the lower right-hand edge of the instruction panel.)

2. In a moment, you will be asked to open a new browser window.  Be aware that the new window will initially cover this instruction panel.  You will need to move and resize the new window so that you can see the entire library homepage next to this instruction panel. 

(Grab the top edge of the browser header and drag it to move the new widow.  Resize by grabbing the lower right-hand corner.)

3.  Okay, now its time to open the new window.  RIGHT-CLICK on this link and select the "NEW WINDOW" option to open the Library's homepage in a new browser window.

4.  As you work on the tutorial, you will find that you have to click once on a browser window to select the window and a second time to click the item you wished to activate.

EBSCOhost Databases

The McGoogan Library subscribes to several EBSCOhost databases.  These include:
  • CINAHL (Cumulative Index of Nursing and Allied Health Literature),
  • PsycINFO, and
  • Health Business.  

The steps in exporting from any EBSCOhost database are identical. This tutorial will use CINAHL to illustrate these steps.

Access CINAHL

Click the Literature Databases" button on the Library homepage.

On the "literature databases" page, click the link to "CINAHL."

If you are working on an off-campus computer or are using the campus' wireless network, you may be asked to login with your UNMC Net ID.

Search CINAHL

Enter any search terms of interest to you in the CINAHL search box/es and hit the search button.

Select Records for Export

After the search results appear, find a record  of interest, and click on that record's folder icon  to select the record for export.

If you want to export a whole page of results/records:

  • Scroll to the top of the result list.
  • Click the "Share" drop-down menu.
  • Click the "Results 1 -- __" option that appears.

Select Records for Export

After a record has been selected, its folder icon will turn yellow (see figure below). If you click the icon again, the selected record will be deselected.

Viewing Selected CINAHL Records/results

When you've selected all the references of interest to you, either:

  • click on the "folder" icon/link at the top of the page

or

Preparing for Export to RefWorks

When you reach the "Folder Contents" page, check the box above the "articles" list to "select all".

Next, click on the "Export" icon. This icon is located on the right-hand side of the page.

When the "Export Manager" appears, select "Direct Export to RefWorks" (dashed arrow in figure below), and then click on the "Save" button (solid red arrow in figure below).

A pop-up window/tab will appear.  Your browser may warn you that the connection is unsafe.  Use "advanced" or other links as necessary to okay proceeding to the linked website.  It is safe.

You may be asked to log into Refworks even if you logged in previously.  After you have logged in and the "Import Completed" message has appeared, return to this "UNMC Library tutorial" window/tab if you wish to see the steps in editing the imported records.

Checking Your New Refworks Records for Duplicates

Has the "Import completed" message appeared?

You may need to scroll up and down a bit to make the column on the right-hand side of the RefWorks page (the column that contains the "folders" list) appear.

Before proceeding with the rest of this tutorial, you may wish to check for duplicates.  You can do this three ways.  Either:

Click the "View Duplicate" button at the bottom of the "Import completed" box.

or

Right-click on the "last imported" folder link .  Hover over "find duplicates" in the menu that appears.  A side menu will appear.  Slide over to the side menu and select "close duplicates in all references".  This method checks for newly imported records that duplicate records already in your account

or 

hover over "View" to make the "View" menu appear.  Hover over the "Duplicates" option.  Then slide over to the side menu and click on the  "close duplicates" option.  This method checks for any duplicates in your account, not just duplicates caused by the newly imported records.

Editing Records

Many CINAHL records will require editing.  The database's indexers, do not 'tidy-up' their records as much as PubMed indexers do.

Two examples of problems that are seen frequently are:

1.   a journal title, journal title abbreviation, article title, or author's name appears in all caps.   Refworks treats words in all caps as acronyms.  If a word is in all caps and it's not an acronym, you will need to edit the record.  

2.  a record for a single-page article contains the single page number in both the "start page" and the "end page" fields.  This produces page number ranges like 198-198 in bibliographies.  The page number will need to be removed from the "end page" field.

To edit a record:

  • click the "edit" (paper and pencil) icon in the grey bar above the record,

  • make the needed changes,
  • click the "Save reference" button. 

Removing links to EBSCOhost database records with a Global Edit

One of the problems with all EBSCOhost records can be fixed with a single Global edit.

The problem:

Each RefWorks record imported from an EBSCOhost database includes a link to the source EBSCOhost record in its "links" field.  You don't want this link to a database record to appear in the location where a link to a full-text article should appear.  

You can remove all of these EBSCOhost database links at one time.  Begin by using RefWorks' "Search" menu to select the "Advanced" search option.

When the "Advanced Search" box appears, change the drop-down from "Anywhere" to "Links"

Enter --

EBSCO

-- in the search box.

Click the "Search" button.

RefWorks will locate all references that contain the characters -- EBSCO -- anywhere in the "Links" field.

2 of 3 When the search results appear, you may want to use the "Change View" menu to display the "Full view".

You can then quickly scan the records to see the highlighted instances of -- 

EBSCO

-- in the links fields.

 When you're satisfied that you want to delete the contents of the "links" fields in all the located references:

  • scroll to the top of the page,
  • click the circle in front of "All in list"In the screenshot, arrow 1 points to the selected circle in front of "all in list" and arrow #2 points to the "global edit" (globe) icon. 
  • click the "Global edit" ("Globe") icon
  • When the "Global Edit" box appears, click on "Delete" to see the "delete" options.

  • Select the "Links" field, and
  • Click the "delete" button.
  • You may be asked to type "edit all" in a dialog box to confirm your interest in editing all the records retrieved by your search.

 

After completing this short tutorial, you know how to:

access CINAHL through the UNMC Library website
select CINAHL records for export to Refworks
Export CINAHL records (and other EBSCOhost database records) to RefWorks
Edit the RefWorks records created by EBSCOhost database exports.
